What happens to your business when a key person goes on leave?

Every small business has one. The person who knows where everything is, how everything works and who to call when something goes wrong. When they go on leave, things slow down. When they leave for good, things can stop.

That’s not a people problem. It’s a sign that the knowledge lives in someone’s head instead of in your systems. The good news is that it’s very fixable.

1. Put your client information in one shared place

If client details live in personal inboxes, notebooks and different spreadsheets, only the person who wrote them can find them. One shared client list means anyone on the team can pick up where someone else left off.

2. Write down how things are done

Not a thick manual. Short, simple guides for the jobs that come up every week: how to send a quote, how to confirm a booking, what to do when a payment comes in. A page each is plenty.

3. Keep logins safe and shared properly

Passwords on sticky notes, or known by only one person, are a risk either way. A proper password manager lets the right people get into the right accounts, and you can switch access off when someone leaves.

4. Make tasks visible

When work is tracked in one place, everyone can see what’s in progress, what’s waiting and who owns it. Nothing depends on remembering to ask.

5. Let the routine jobs run themselves

Confirmations, reminders, invoices and follow-ups don’t need a person if they follow the same steps every time. Automate them, and they keep happening whoever is in the office.

The real benefit

A business that doesn’t depend on one person is calmer for everyone. Your team can take a proper holiday without worrying, new staff get up to speed faster, and you can step back without everything stopping.
